The Saba Conservation Foundation (SCF), a non-profit, non-governmental organization, established in 1987 with the mandate to conserve Saba’s natural heritage, is currently seeking applicants for the position of:


Job Overview:

We are seeking a detail-oriented and organized Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting the smooth and efficient operation of our organization. You will work closely with the Executive Director and various teams to manage administrative tasks, handle communication, and ensure the office runs smoothly.


  1. Administrative Support: Provide general administrative support to the organization, including but not limited to managing phone calls, emails, and correspondence, scheduling meetings, and maintaining office supplies.
  2. Data Entry and Documentation: Accurately maintain and update documents, records, and databases, ensuring that information is organized and easily accessible.
  3. Calendar Management: Assist in managing appointments and calendars for executives and team members, scheduling meetings, and coordinating events.
  4. Communication: Serve as a point of contact between the organization and external parties, as well as within the internal teams. Professionally answer phone calls, handle inquiries, and manage incoming and outgoing mail.
  5. Travel Arrangements: Arrange travel itineraries, accommodations, and transportation for employees and executives when necessary.
  6. Office Organization: Maintain a tidy and efficient office environment by organizing files, arranging meetings, and coordinating office logistics.
  7. Meeting Support: Prepare meeting materials, take meeting minutes, and assist with presentations as needed.
  8. Administrative Projects: Assist in special projects, reports, and research tasks as assigned by management.
  9. Multitasking: Effectively manage multiple tasks and prioritize workload to meet deadlines and handle unexpected requests.
  • High school diploma or equivalent; additional education or certification is a plus.
  • Proven experience as an Administrative Assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent communication skills, both written and verbal.
  • Strong organizational and time-management abilities.
  • Attention to detail and a commitment to maintaining confidentiality.
  • Ability to work well in a team and adapt to changing priorities.
  • Knowledge of office equipment and software applications.
  • Working hours weekdays and/or weekends at a mutually agreeable time, except national holidays;
  • Institutional support for personal development through training;
  • Office space will be provided with all necessary equipment to carry out duties;
  • He/She reports to the Executive Director;
  • Salary will be commensurate with qualifications and experience.
